For doctors & private practice

Answer every patient without leaving the room.

You are with a patient for eleven minutes at a time, so the WhatsApp enquiries pile up until evening — and by then half of them have booked somewhere that replied. Modus answers timings, fees, location, documents and preparation from your own material on your practice number, books the slot while they still want it, and escalates anything clinical to you instead of guessing.

  • Enquiries answered while you are in consultation, after OPD and on Sundays
  • Appointments booked in the chat and reminded before the slot
  • Anything clinical — symptoms, dosage, results — escalated to you, never answered by AI
  • Every new patient traced back to the ad, listing or referral that produced them

₹500 – ₹2,500 per visit

And a patient who books once and returns is worth many multiples of that over the years they stay with you

Today

What it looks like right now.

  • Enquiries arrive all day while you are with patients, and get answered in a batch at night when the urgency has passed.

  • Timings, consultation fee, address, parking, which documents to bring and whether you take that insurance — retyped every single day.

  • Patients message on your personal number because that is the one they found, so work and family live in the same thread.

  • No-shows eat slots you could have given away, because nobody had time to send a reminder.

  • Someone describes a symptom in chat and expects medical advice — which is exactly the message that must not be answered by software.

  • You run ads or pay for a listing, and you genuinely cannot say which one the last twenty new patients came from.

Same problem, three sizes

A single chamber and a five-city practice break in different places.

The enquiries are the same three questions at every size — when are you available, what does it cost, where are you. What changes is who is failing to answer them: at first it is you between patients, then one overloaded receptionist, then four front desks that each answer differently. Modus is the same agent at all three sizes; what it takes off your hands is different.

01

Solo chamber

One doctor, one location, no receptionist — or one who is also handling billing, files and the queue at the door.

20 – 80 enquiries a month

What breaks

Every enquiry waits for a gap between patients. You reply at 9pm to messages from 11am, and the ones who needed an appointment today booked with whoever answered first. There is no record of who asked and never came back.

What Modus does

The agent takes the whole first exchange on your own number — timings, fee, location, what to bring — and puts a booked slot in front of you instead of a thread to reply to. You open WhatsApp once, to the four conversations that actually needed a doctor.

02

Growing practice

Two to five doctors or a second location, a receptionist or two, and ads or a listing bringing in enquiries you did not personally earn.

100 – 600 enquiries a month

What breaks

The front desk is the bottleneck: it answers the phone, the door and WhatsApp with the same pair of hands, so the chat queue is whatever is left over. Enquiries route to the wrong doctor, no-shows eat 20% of the calendar, and nobody can say whether the ads are working.

What Modus does

Every enquiry is answered instantly and routed to the right doctor with the reason for the visit already captured, so your receptionist works the queue at the door instead of the queue in the phone. Reminders go out before each slot, and each new patient carries the ad that produced them.

03

Multi-location group

A practice across several clinics or a hospital-attached department, with a front desk per site and real ad spend behind it.

600+ enquiries a month

What breaks

Four front desks answer the same question four ways, patients get bounced between numbers, and spend is judged on cost per lead — which says the cheap broad-reach campaign is the good one while the expensive intent campaign quietly fills the calendar.

What Modus does

One agent gives the same correct answer at every location, routes by branch and specialty, and holds spend, conversation and completed appointment on one record — so cost per patient who actually came in is a number per creative, not an argument between marketing and the front desk.

The arithmetic

The patient you lost was not lost on price

Almost nobody chooses a doctor by comparing fees. They message two or three, and they book with whichever one replied while they were still worried enough to act. A four-hour reply delay is not a service problem — it is the entire loss, and it happens on exactly the days your OPD was busiest.

Years, not one visit

What a patient who books and returns is worth — which is what a missed reply actually costs

Where the money went

Cost per lead says the wrong campaign is working.

A broad "book an appointment" ad is cheap per click because clicking is easy — most of those people were browsing. Modus keeps the ad attached to the person through the conversation to the appointment you mark completed, so you can compare cost per patient who actually walked in across creatives instead of cost per enquiry.

The agent

What it does on every enquiry.

Answers the questions that are not medical

Timings, availability, consultation fee, location and directions, documents to bring, preparation instructions, follow-up policy — answered from your own material, in seconds, at any hour.

Clinical questions go to you, always

Symptoms, diagnosis, medication, dosage, test results and anything that reads like advice are refused by the agent and escalated to you with the full thread. It is instructed to say it cannot answer rather than attempt one — that boundary is the point.

Books the appointment in the chat

Preferred day and doctor are captured in the conversation and the slot is confirmed there, with a reminder before it — so fewer people forget, and fewer slots go empty on a full day.

On your practice number, not your personal one

Runs on the official WhatsApp Business API on a number for the practice, and the same agent answers in a chat widget on your website. Both land in one inbox, so patient conversations stop living in your personal WhatsApp.

Routes to the right doctor or branch

The reason for the visit and the location are established before the enquiry reaches anyone, so it arrives at the right chamber with context instead of being forwarded twice.

Every new patient traced to its source

The ad or campaign that produced an enquiry stays on the record through to the completed appointment, so cost per new patient is visible per creative rather than cost per click.

Patients you can reach again

Everyone who messages becomes a contact with their visit history, so a recall for an annual check or a follow-up is a segment and a scheduled message, not a receptionist working through a register.

In practice

How it runs.

  1. 01

    The patient messages

From an ad, a listing, your website, a Google search or a referral — answered on your practice number in seconds, at whatever hour it arrives.

  2. 02

    AI answers and books

Timings, fee, location and preparation handled from your own material; the reason for the visit captured; the appointment confirmed and reminded.

  3. 03

You see only what needs a doctor

Clinical questions and anything unusual arrive escalated with the whole thread. The routine ninety per cent is already done.

Questions we get asked

Will it give medical advice?

No, and it is built not to. Symptoms, diagnosis, medication, dosage and test results are refused and escalated to you with the conversation attached. It handles timings, fees, location, documents and appointments — the administrative layer that is currently eating your evenings.

How is this different from your clinics page?

The clinics page is for specialty centres selling high-value treatment plans — implants, IVF, hair transplant — where the job is qualifying a patient through weeks of research. This one is for a practising doctor or a general practice, where the job is answering and booking a high volume of routine enquiries without pulling you out of consultation.

Is patient information safe?

Conversations run on the official WhatsApp Business API, which is end-to-end encrypted in transit, and your tenant's data is isolated from every other business on the platform. The agent does not ask for clinical history it has no reason to hold — it captures the reason for the visit and the appointment, and leaves records to your practice system.

Can it use my existing number?

A number can be migrated onto the WhatsApp Business API if it is not already active on the consumer WhatsApp app, and most practices prefer to start a dedicated practice number precisely so patient chat stops arriving on the doctor's personal phone. We handle the provisioning either way.

What about patients who only call?

Then they call, and that does not change. Modus takes the chat and web enquiries — which for most practices is now the larger and worse-handled half — and frees your front desk to actually pick up the phone.

What do I need to set it up?

Your timings, fee structure, address and directions, the documents and preparation you always explain, and your escalation rules. We provision the WhatsApp Business API and train the agent on that material. Connecting Meta is self-serve, and a 7-day trial lets you watch it handle real enquiries before you pay.

Stop guessing which enquiries were worth it.

One agent works every lead on your own number and your website — and every deal it closes is traced back to what produced it. We handle the setup.
