What Modus collects, why, and what we do with it — for the businesses who buy it and for the customers who message them.

1. Introduction

This privacy policy explains what information Modus collects, why we collect it and what we do with it. linkmodus.com and the Modus platform are operated by ProCodebase Technologies (Ashu Singhal), Bengaluru, Karnataka, India — GSTIN 29JSIPS3372G2Z1 ("Modus", "we", "us").

Modus is a business-to-business platform. Businesses use it to answer, qualify and close customer enquiries on WhatsApp and on their own website, and to trace the resulting revenue back to the ad that produced it.

By visiting our website, creating an account or using the platform, you agree to this policy.

2. Who this policy is for

Two different people are covered by this document, and we handle their information under different responsibilities.

Businesses that use Modus (our customers)

We decide what account, billing and usage information we need in order to provide the platform, and we are responsible for it. Sections 4, 6, 7 and 8 describe that data.

The customers of those businesses (end customers)

When someone messages a business on its WhatsApp number or its website chat, we process that conversation on that business's instructions. The business decides why it is collected, how long it is kept and who may see it; we hold and process it for them. If you are an end customer and want your data corrected or deleted, contact the business you were messaging — and see section 12 if you cannot reach them.

4. Information we collect from businesses

You give us this information directly when you sign up, get set up and pay.

Account details

Your name, business name, work email address and phone number, and a password we store only as a bcrypt hash — never as text we can read. If you switch on two-factor authentication we also store the device secret needed to verify your codes.

Billing details

Your billing name, address, state (which determines the GST split) and GSTIN where you provide one, plus a record of every order, invoice and credit purchase. Payments are processed by Razorpay — card, UPI and net-banking credentials are entered on Razorpay's checkout and never reach our servers.

Business material you upload

Price lists, brochures, FAQs, product catalogues, images and anything else you add to your knowledge base so the agent can answer from your own material.

If you request a demo or write to us, we keep what you sent so we can reply.

5. Information we process on a business’s behalf

This is the conversation data that flows through the platform. It belongs to the business that uses Modus; we process it to run the service for them.

  • WhatsApp messages sent to and from the business’s number — the sender’s phone number, WhatsApp profile name, message text, and any images, documents or audio exchanged.
  • Website chat conversations from the embedded widget, including the page the visitor arrived on and the campaign parameters in that link.
  • Contact records built from those conversations — name, phone number, email, lead score, pipeline stage, notes and tags.
  • Orders, payments recorded against a contact, support tickets and tasks.
  • The advertising click identifier attached to an enquiry that came from a Meta or Google ad, which is what allows revenue to be traced back to the ad that produced it.

Businesses using Modus are responsible for having a lawful basis and, where required, the consent to message their customers, and for complying with the WhatsApp Business Messaging Policy.

6. Advertising accounts you connect

If you connect a Meta or Google Ads account, we store the access credentials that connection issues, together with the campaign, ad set, creative and performance data we read back.

Those credentials are encrypted at rest with AES-256-GCM and are used only to act on the account you connected — reading spend and results, and creating or updating campaigns where you have asked Modus to do so. You can disconnect an account at any time from your board, which revokes our access.

7. How we use the information

To run the service

Deliver and answer messages, score and route leads, build the CRM record, publish and read back campaigns, and produce the analytics on your board.

To bill you

Price a plan or credit purchase, add GST, issue a tax invoice and keep the records tax law requires us to keep.

To support you

Investigate a problem you report, and send service notices about your account — trial expiry, a failed integration, a payment receipt. These are not marketing emails and cannot be unsubscribed from while your account is open.

To keep the platform secure

Rate limiting, abuse detection, audit logs of significant actions, and diagnosing faults.

To improve Modus

Aggregate, non-identifying usage statistics. We do not sell your data, and we do not use one business's conversations to benefit another.

8. Cookies

Modus uses cookies only for the things that cannot work without them. We do not run third-party advertising or tracking cookies on this site.

Session cookies

A signed token that keeps you logged in to your board or the admin surface. Deleting it logs you out.

Chat widget

A short-lived visitor token that lets the embedded chat widget continue a conversation across page loads on the site it is installed on.

9. Who we share information with

We do not sell, rent or trade your information. We share it only with the service providers that make the platform work, each acting on our instructions:

  • Meta Platforms — the WhatsApp Cloud API carries your messages, and the Marketing API carries campaign data for connected ad accounts.
  • Google — Google Cloud hosts the application and stores media files; Google Ads carries campaign data for a connected Google account.
  • OpenAI — generates the agent's replies and scores leads. Content sent through the API is not used to train their models.
  • MongoDB Atlas — the managed database where platform data is stored.
  • Razorpay — processes payments and holds the payment instrument details we never see.
  • Zeptomail — delivers transactional email such as invoices and password resets.

We may also disclose information where the law requires it — a court order, or a lawful request from a government authority. Where we are permitted to tell you, we will.

10. Where information is stored

The platform runs on Google Cloud and its data is stored in managed services that may process it outside India, including in Singapore and the United States. Where information leaves India, it does so under the contractual protections those providers offer, and this policy continues to apply to it.

11. How long we keep it

While your account is open

Conversations, contacts, orders and analytics are kept for as long as you need them — they are the working record of your pipeline. You can delete individual records from your board at any time.

After you leave

Tell us to close your account and we delete your platform data within 30 days, except for what we are legally required to retain.

Billing records

Invoices and tax records are kept for eight years, as Indian tax law requires. We cannot delete these on request.

12. Your rights

Subject to applicable law, including India's Digital Personal Data Protection Act, you may ask us to give you a copy of the personal information we hold about you, correct it, delete it, or stop a particular use of it. Write to us at the address in section 15 and we will respond within 30 days.

If you are an end customer of a business that uses Modus, we act on that business's instructions and will forward your request to them rather than acting on it ourselves. Tell us the business and the number you messaged from and we will pass it on.

13. Security

Passwords are stored as bcrypt hashes. Access credentials for connected WhatsApp and ad accounts are encrypted at rest with AES-256-GCM. All traffic runs over TLS, sessions are signed and expiring, and every tenant's data is separated so that one business's board can never read another's.

No system is perfectly secure. If we become aware of a breach affecting your data, we will notify you and the relevant authority as the law requires.

14. Governing law and disputes

This policy is governed by the laws of India. Any dispute arising out of it will be resolved by binding arbitration seated in Bengaluru, Karnataka, conducted in English under the Arbitration and Conciliation Act, 1996, before either party goes to court. The courts at Bengaluru have exclusive jurisdiction over anything arbitration does not settle.

15. Changes to this policy

The current version of this policy is always the one published on this page. When we make a material change we allow 14 days between the published and effective dates and, for a change that affects how we handle your data, we email account holders. Continuing to use Modus after the effective date means you accept the change.
